# Upgrade or manage subscription Manage your urvo subscription and monitor usage for optimal value ## Accessing Plan & Billing To manage your subscription, go to **Settings → Plan and Billing** in your dashboard. ## Billing Cycles Understanding how billing cycles work is important for managing your subscription: 1. **Billing cycle start date:** Your billing cycle starts on the same date you signed up, every month. 2. **Monthly billing only:** Currently, only monthly plans are available. No yearly plans are offered at this time. 3. **Automatic renewal:** Your subscription automatically renews each month on your billing date. For example, if you signed up on March 15th, your billing cycle runs from the 15th of each month to the 14th of the following month. ## Plan Changes ### Getting Started with a Plan To subscribe to a plan: 1. Go to **Settings → Plan and Billing**. 2. Review the available plans and their features. 3. Click **"Get Started"** or **"Subscribe"** on your chosen plan. 4. Enter your payment information. 5. Confirm the subscription. 6. Your plan takes effect immediately. ### Upgrading Your Plan Need more capacity? You can upgrade at any time: 1. Go to **Settings → Plan and Billing**. 2. Click **"Upgrade Plan"** or select a higher tier plan. 3. Review the pricing and features. 4. Confirm the upgrade. 5. Your new limits take effect immediately. **Note:** Upgrades take effect instantly. You'll have access to your new plan's features and limits right away. #### Prorated Charges for Upgrades When you upgrade your plan, you're charged on a prorated basis: - **Within 24 hours of billing cycle start:** If you upgrade within 24 hours of your billing cycle start date (or within 24 hours of signing up), you receive the full plan benefits at the full price. - **After 24 hours:** If you upgrade after this window, you pay a prorated amount based on the remaining days in your billing cycle, and receive prorated minutes accordingly. **Example:** If you upgrade on day 15 of a 30-day billing cycle, you'll pay approximately 50% of the price difference and receive approximately 50% of the additional minutes for the remainder of the cycle. Your next billing cycle will be charged at the full new plan rate. ### Downgrading Your Plan If you need to reduce costs, you can downgrade your plan: 1. Go to **Settings → Plan and Billing**. 2. Select a lower tier plan. 3. Confirm the downgrade. 4. Continue using your current plan until the end of your billing cycle. 5. The downgrade takes effect on the first day of your next billing cycle. **Important:** Downgrades are scheduled and take effect from the first day of your next billing cycle. You'll continue to have access to your current plan's features until then. ### Canceling Your Subscription You can cancel your subscription at any time: 1. Go to **Settings → Plan and Billing**. 2. Click **"Cancel Subscription"**. 3. Choose your cancellation reason (optional). 4. Confirm the cancellation. 5. Your subscription remains active until the end of your current billing period. 6. Cancellation takes effect on the first day of the next billing cycle. **After Cancellation:** Once your current billing period ends, you will be downgraded to the free plan. Your agents will stop receiving calls if you exceed free tier limits. ## Refund Policy Generally, refunds are not provided for subscription cancellations or plan downgrades. When you cancel or downgrade, you retain access to your current plan until the end of your billing cycle. However, in special circumstances, refunds may be considered on a case-by-case basis. If you believe you have a valid reason for a refund, please contact our billing team at [billing@urvo.io](mailto:billing@urvo.io). Please include your account email, subscription details, and the reason for your refund request. ## Monitoring Your Usage Keep track of your minutes consumption to avoid running out unexpectedly. urvo provides multiple ways to check your usage: ### Quick Usage Check (User Icon) The fastest way to check your minutes is from the main dashboard: 1. Click the **user icon** in the sidebar of the main dashboard. 2. A popover will appear showing your **total minutes** and **remaining minutes**. This is the easiest way to get a quick glance at your minutes without navigating away from your current page. ### Settings → Usage For a more detailed view, go to **Settings → Usage**. Here you can see: 1. Minutes available, consumed, and remaining 2. Complete billing history 3. Auto-recharge settings ### Test Agent Panel You can also see your minutes usage when testing an agent: 1. Open any agent from your Agents list. 2. Click the **"Test Agent"** button in the left sidebar. 3. Your current minutes information is displayed in the test panel. ## Usage Page The Usage page provides a complete history of your billing and subscription activity. Access it by going to **Settings → Usage**. ### What You Can See The Usage page displays: - **Previous billing cycles:** Complete history of all your billing periods - **Start and end dates:** The exact dates for each billing cycle - **Plan changes:** Any upgrades or downgrades during each cycle - **Cancellations:** Records of any subscription cancellations - **Coupons and discounts:** Applied promotional codes and their values - **Charges and payments:** All billing transactions ## Auto-Recharge Settings Enable auto-recharge to ensure your agents never stop receiving calls when minutes run out. This feature automatically adds more minutes to your account when your balance gets low. ### Enabling Auto-Recharge To set up auto-recharge: 1. Go to **Settings → Usage**. 2. Find the **Auto Recharge Settings** section. 3. Toggle **"Enable auto recharge"** to on. 4. Configure your recharge thresholds. ### Auto-Recharge Configuration When configuring auto-recharge, you set two values: | Setting | Description | |---|---| | Recharge when minutes reach | The minimum minutes threshold that triggers an automatic recharge. When your remaining minutes fall to this level, a recharge is initiated. | | Recharge minutes back to | The target total minutes after recharge. The system will purchase enough minutes to bring your total back up to this level. | **Example:** If you set "recharge when minutes reach" to 100 and "recharge minutes back to" to 1,000, then when your remaining minutes drop to 100, the system will automatically purchase 900 minutes to bring your total back to 1,000. Enable auto-recharge so that your agents don't stop receiving calls when minutes run out. This ensures continuous service for your customers and prevents missed calls or interrupted conversations. ## Enterprise Billing Enterprise customers get additional billing features: - **Custom contracts:** Tailored pricing and terms - **Annual billing:** Discount for annual payments - **Purchase orders:** Support for PO-based billing - **Multiple payment methods:** Wire transfers, ACH, checks - **Dedicated account manager:** Personal billing support - **Custom invoicing:** Branded invoices and custom terms **Note:** Contact [billing@urvo.io](mailto:billing@urvo.io) for Enterprise plans. ## Billing Support Need help with billing?
